Shanghai Exhibition Etiquette Guidelines
To foster a safe, orderly, and respectful environment for exhibitors and attendees, and to maintain order and enhance the quality of the event, the following guidelines have been established:
1. Entry and Exit Procedures
1. Attendees must proceed through the "Registration and Verification" process, including providing proof of identity, before entering the exhibition venue or designated area. Attendees must not transfer their identification documents to others. Entry will be managed in an orderly manner under the guidance of event staff.
2. Attendees are responsible for undergoing security checks and strictly adhering to restrictions on prohibited and limited items. Attendees are prohibited from bringing prohibited, restricted, and irrelevant items into the venue, as well as exhibition items outside the venue.
Note: Prohibited items refer to items that are prohibited from being carried in accordance with Chinese laws and regulations. Restricted items refer to items that may affect the safety and operation of the venue, and which are prohibited from being brought into the venue by the venue operator or the organizer.
**2. Exhibition Viewing Protocol**
3. Attendees are prohibited from crossing barriers or damaging exhibition items.
4. Smoking and open flames are prohibited within the venue. Attendees are prohibited from misusing, disturbing, or damaging any fire safety equipment or facilities within the venue.
5. Visitors are prohibited from littering, engaging in disruptive behavior such as chasing or arguing, making excessive noise, or discarding items carelessly. Furthermore, prolonged occupation and damage to public facilities and spaces that impede other attendees' viewing experience are strictly prohibited.
6. Attendees are required to strictly adhere to all safety regulations for the use of elevators, escalators, and staircases. It is strictly prohibited to sit, lie down, play, walk backwards, or run on escalators, and to operate wheelchairs or strollers in a manner that poses a safety risk.
7. Venue operators and event organizers may, in advance, place signage such as "No Photography/Videography" in designated areas. Attendees are prohibited from taking photographs or videos in areas marked with "No Photography/Videography" signage. The use of flash, selfie sticks, drones, and other photographic equipment is strictly prohibited without prior authorization.
8. Participation in activities such as interviews, commercial photography, live streaming by independent media, recording, lectures, and performances is prohibited without prior written consent from the organizing unit. In the event of unforeseen circumstances, participants must follow the guidance of on-site staff, and must disperse in an orderly manner, refraining from participation, gathering, observation, inciting, or disseminating information.
9. Prohibited activities and behaviors include: shouting slogans, displaying banners, wearing or displaying clothing with personal expression content, conducting surveys or opinion polls without prior authorization from the organizing unit, distributing flyers, soliciting donations, scanning and distributing gifts, engaging in any form of product promotion, service provision, or advertising, and engaging in any other behavior that violates laws, regulations, and social norms. All participants are expected to contribute to creating a civilized and respectful exhibition environment.
III. Management Responsibilities
10. Venue operators must establish a venue safety management system, provide security personnel, and install monitoring, fire safety, and emergency response facilities and safety signage within the venue. They must also guide all parties involved in the exhibition to carry out relevant safety management work.
11. Exhibitors and venue operators should strengthen management of visitor flow, optimizing entry and exit routes under the guidance of police, fire, and other relevant departments. They should develop and implement comprehensive plans for security, traffic coordination, personnel management, and emergency response to prevent incidents such as pedestrian crushes. In the event of an emergency, visitors must follow the instructions of on-site staff and comply with directions for orderly evacuation.
12. Organizers are responsible for comprehensively investigating and documenting all disputes related to the exhibition, based on the exhibition's specific circumstances, and promptly reporting these to the relevant law enforcement agencies.
13. The organizing entity must establish a "Trade Show Reception Center" and assign qualified personnel to manage it, maintaining communication with relevant departments such as the Market Supervision Bureau, Consumer Protection Committee, Intellectual Property Bureau, and Public Security Bureau, as well as professional service providers, to provide exhibitors and attendees with support services, including dispute resolution.
14. Venue operators and event organizers should strengthen exhibition logistics management, clearly define logistics service fees, and ensure transparent pricing. Unqualified logistics services are prohibited from entering the venue, and the quality of logistics services should be improved.
15. Any violation of these rules grants the organizing entity and venue security personnel the right to stop the infringing behavior or request the infringing individuals to leave the venue.
16. In cases where personal injury or property damage occurs, the venue operator, organizer, and other relevant parties shall, in accordance with applicable laws and regulations, hold the responsible individual legally accountable.
IV. Other
17. Any remaining matters shall be governed by the announcements issued by the relevant local government departments, venue operators, and the organizing entity.
18. These terms and conditions shall take effect from the date of publication.
