The 17th China-ASEAN Expo will be held in Nanning, Guangxi from November 27 to 30, 2020. Entrusted by the Shanghai Municipal Commission of Commerce, the association is now conducting an online open tender for the overall exhibition-organization work of the Shanghai delegation, including exhibitor organization, buyer organization and reception services.

I. Background

The China-ASEAN Expo is a national-level and international economic and trade exchange event jointly sponsored by the economic and trade authorities of China and the ten ASEAN countries and the ASEAN Secretariat, and organized by the People's Government of Guangxi Zhuang Autonomous Region. It is held annually in Nanning, Guangxi. The expo is currently the only exhibition in China jointly organized by multiple governments and held over the long term in one fixed city. It is also a national key exhibition directly sponsored at the national level, with special international influence and an annual schedule. Since 2004, the expo has been held successfully for 16 sessions, alongside 16 sessions of the China-ASEAN Business and Investment Summit. With exhibitions at its core, the expo also carries out multi-field and multi-level exchange activities, building a platform for exchanges and cooperation between China and ASEAN.

In 2020, marking the 10th anniversary of the China-ASEAN Free Trade Area, the expo aims to promote the construction of the China-ASEAN Free Trade Area and share opportunities for cooperation and development. With the theme of jointly building the Belt and Road and jointly developing the digital economy, it will implement trade and investment facilitation. Taking the 30th anniversary of China-ASEAN dialogue relations in the following year as an opportunity, the expo will enrich the strategic partnership, open a new era of cooperation, promote China-ASEAN relations to a new level, and help the region remain an oasis of peace and a highland of development.

The exhibition period of this session is four days, with three exhibition areas and a planned Shanghai exhibition area of 334 square meters. This year, Shanghai will combine the online new economy with joint Belt and Road development to shape a shared vision for cooperation. Details are as follows:

1. Hall B1: Image exhibition area, 100 square meters.

2. Hall E: Smart Energy and Electric Power exhibition area, 90 square meters.

3. Hall D, No. 2: Building Materials exhibition area, 144 square meters.

II. Tender Scope and Requirements

1. Organization of the economic and trade delegation.

1) Prepare an exhibitor-recruitment work plan based on the theme and special sections of the China-ASEAN Expo and the actual conditions of the Shanghai delegation, and complete the exhibitor organization for the exhibition areas.

2) Prepare a conference-organization work plan for the economic and trade delegation, and implement it after confirmation by the competent authority, the Shanghai Municipal Commission of Commerce.

3) Prepare a unified design and overall booth-construction plan for the Shanghai enterprise exhibition areas, and implement it after confirmation by the competent authority.

2. Organization of the buyer delegation.

1) Prepare an investment and buyer-invitation work plan according to the organizing committee's requirements, and arrange key Shanghai circulation enterprises and import-export enterprises to attend for procurement discussions.

2) Prepare a conference-organization work plan for the buyer delegation, and implement it after confirmation by the competent authority.

3. Organization of the government delegation.

Prepare a reception work plan for the government delegation, and implement it after confirmation by the competent authority.

III. Requirements for Bidders

1. The bidder must have more than five years of experience receiving government leaders and maintain sound cooperative relationships with the organizing committee and local counterpart reception organizations.

2. The bidder must advance all project expenses. After the project is completed, the final accounts shall be submitted to the competent authority. Funds will be allocated after review by the competent authority and the organizing committee.

IV. Notes

1. The bid document prepared by the bidder shall include detailed plans and preliminary budgets for the economic and trade delegation, buyer delegation and government delegation.

2. If bidders have questions, they may contact the Trade Promotion Division of the Shanghai Municipal Commission of Commerce.

3. The winning bidder will be notified by telephone by the association. Unsuccessful bidders will not receive separate notice.

V. Timetable

1. Online open tender period: November 2 to November 6, 2020.

2. Bid submission deadline: November 6, 2020. Late bids will be treated as invalid.

3. Bid opening time: to be notified separately.
