Invitation for Bid
To all relevant entities:
The 6th China-Eurasia Expo will be held in Urumqi from August 30 to September 1, 2018. Entrusted by the Shanghai Municipal Commission of Commerce, our association is now conducting an open online tender for the overall exhibition organization requirements of the Shanghai Delegation (including the organization of exhibitors and buyers, reception work, and other related matters).
I. Expo Overview
To deeply promote regional economic cooperation between China, Central Asia, South Asia, and Europe, and to facilitate the all-around opening up of Xinjiang, the China-Eurasia Expo has developed into an international and comprehensive exposition. It integrates goods trade, service trade, investment cooperation, cultural exchanges, and thematic forums, fully showcasing the economic development achievements of China and neighboring Eurasian countries, and providing opportunities for trade, investment, and economic cooperation.
Expo Dates: August 30 – September 1, 2018
Expo Venue: Xinjiang International Convention & Exhibition Center, Urumqi, Xinjiang
The 6th China-Eurasia Expo featured richer content, including 1 main forum, 14 ministerial forums and events, as well as industry forums and trade & investment promotion activities. The exhibition area totaled 70,000 square meters, divided into professional zones: Provincial/City Investment & Cooperation Image, 1. Educational Equipment Exhibition, 2. Medical Devices & Healthcare Products Exhibition, 3. Energy & High-tech Equipment Exhibition, 4. Agricultural Products & Fine Processed Food Exhibition, 5. Textile & Garment Exhibition, 6. Green Building Materials Exhibition, 7. Tourism Industry Exhibition, 8. Food Processing & Packaging Machinery Exhibition, 9. Construction Machinery & Vehicles Exhibition, 10. Aid to Xinjiang Achievements Exhibition, etc.
2. Bidding Content and Requirements
1. Organization of Economic and Trade Delegation
1) Based on the theme and special sessions of the 5th China-Eurasia Expo and considering the actual situation of the Shanghai delegation, formulate a work plan for exhibitor recruitment and complete the organization of exhibitor recruitment in the exhibition area.
2) Formulate a work plan for organizing the conference affairs of the economic and trade delegation, which will be implemented after approval by the competent authority (Shanghai Municipal Commission of Commerce).
3) Formulate a work plan for the unified design and overall booth arrangement of the Shanghai Investment & Cooperation Exhibition Area, which will be implemented after approval by the competent authority (Shanghai Municipal Commission of Commerce).
2. Organization of Purchasing Delegation
1) According to the requirements of the organizing committee, formulate a work plan for investment promotion and invite key Shanghai distribution enterprises and import & export enterprises to attend the expo for procurement and negotiation.
2) Develop the organizational work plan for the procurement delegation's conference services and implement it after approval by the competent authority (Municipal Commission of Commerce).
3. Government delegation organization
Develop the reception work plan for the government delegation and implement it after approval by the competent authority (Municipal Commission of Commerce).
III. Requirements for bidding units
1. Bidding units must have more than 5 years of experience in receiving government leaders and maintain good working relationships with the organizing committee and local counterpart reception units.
2. Bidding units are required to advance all expenditure costs. After project completion, the final accounts shall be submitted to the competent authority (Municipal Commission of Commerce), and funds will be allocated after evaluation by the competent authority (Municipal Commission of Commerce) and the organizing committee.
IV. Important notes
1. The bidding documents prepared by bidding units shall include detailed plans and preliminary budgets for the organization of economic & trade delegations, procurement delegations, government delegations, and other related work.
2. If the bidding entity has any questions, they may contact the Trade Promotion Office of the Municipal Commission of Commerce for consultation.
3. The winning bidder will be notified by phone by this association. Those not winning the bid will not be notified separately.
5. Time Requirements
1. Online open bidding period: July 20, 2018 - August 1, 2018
2. Bidding deadline: August 1, 2018. Late bids will be rejected as invalid.
